How it works — from order to ERP sales order

Three specialised AI agents work in sequence — each focused on its own responsibility, together covering the full cycle from order intake to customer confirmation.

The system monitors sales channels: email inboxes with attachments (PDF, Excel, Word, email body), EDI streams, customer portal, messages dictated by sales reps. AI identifies intent — whether it is a new order, a modification, a quote enquiry, a complaint, or converting a quote to an order. It identifies the customer (by email address, signature or tax ID) and retrieves their ERP record including credit limit, payment terms, purchase history and applicable pricing.
The AI agent maps customer descriptions to specific ERP item codes — accounting for synonyms, abbreviations, customer cross-references, foreign-language translations and a history of past matches for this customer. For each line item it checks stock availability down to location, calculates price from the customer pricelist and applicable promotions, proposes substitutes for unavailable items, forecasts delivery date (including production, transport and cut-off times) and validates credit terms. Anomalies — unusual quantities, first order of a new product family, significant deviation from history — are flagged for human review.
Orders with full matching and confidence above threshold are created autonomously in ERP. The customer receives a confirmation in their language with the order number, line items, price and delivery ETA. For exceptions — unavailability, substitute proposal, price discrepancy, credit limit exceeded — the AI Agent drafts the message, but a human (sales rep or customer service) approves the content before sending to the customer.
